Position Title: Accounting Officer
Duty Station: Micronesia Conservation Trust (MCT) Headquarters, Pohnpei, Federated States of Micronesia
Reporting to: Chief Financial Officer
JOB SUMMARY
The Micronesia Conservation Trust (MCT) is a non-governmental, non-profit organization supporting biodiversity conservation and climate change adaptation and mitigation across the Micronesia region. Under the direct supervision of the Chief Financial Officer (CFO), the Accounting Officer will be responsible for the day-to-day management of financial matters, maintain robust and accurate financial records, and work with Grant Managers to ensure all grant-related activities are undertaken in line with organizational and legal requirements.
KEY RESPONSIBILITIES
All responsibilities of the Accounting Officer will be undertaken under the direct supervision of the CFO, who will provide oversight and monitor quality and accuracy of all financial matters.
Financial Reconciliation and Reporting
· Perform regular bank reconciliations, ensuring appropriate procedures are followed and all transactions are accurately accounted for.
· Support timely processing of payments and reconciliations to avoid delays in financial reporting.
· Reconcile grant expenditures, payables, receivables, and financial records against bank statements and accounting ledgers.
· Investigate and resolve discrepancies in financial data, working closely with the CFO and relevant teams.
· Prepare detailed reconciliation reports and provide insights on financial variances.
· Review and approve payroll processing, ensuring accuracy and compliance.
Audit and Financial Systems
· Assist in preparing financial documentation for internal and external audits.
· Collaborate with auditors, providing all required documentation including reconciled reports, financial statements, and other necessary supporting materials.
· Support the development and maintenance of internal financial controls to prevent errors and fraud.
· Identify areas for process improvement and contribute to strengthening financial integrity within the organization.
Grants Management Support
· Support the Grants Managers in all aspects of grant financial management.
o Assist the tracking and reconciliation of grant disbursements and expenditures.
o Work with the Grants Managers to verify grant spending aligns with approved budgets and donor agreements.
o Ensure that all financial transactions related to grants are properly recorded and documented.
o Monitor and report on fund balances, ensuring that project funds are used appropriately.
· Ensure that all grants are complying with legal regulations and internal audit requirements.
· Participate in the development of basic financial systems to be adopted by grantees for the management of projects, developing and delivering training as needed to ensure effective implementation of these.
Financial Data Entry & Documentation
· Accurately input financial transactions into the accounting system and maintain organized financial records.
· Ensure all invoices, receipts, and financial statements are properly documented for audit and reporting purposes.
· Approve all entries into financial logs made by the Accounting Assistant.
General Duties
· Undertake additional duties as requested by the CFO.
QUALIFICATIONS AND EXPERIENCE
Education
· Bachelor’s degree in Accounting, Business Administration, Finance, or a related field.
· Master’s degree in Business Administration is an asset but not a requirement.
Experience
· At least 3 years’ experience in accounting, auditing, reconciliation, or grants management.
· Experience working with non-profit organizations, donor-funded projects, or government agencies is preferred.
Skills and Competencies
· Strong knowledge of financial reconciliation, auditing, and compliance regulations.
· Strong IT skills, including proficiency in accounting software, e.g. QuickBooks, SAP, or similar, and Microsoft Excel.
· Knowledge of at least one Micronesian language is an asset.
EMPLOYMENT DETAILS
Type of Contract: Full-time, permanent.
