Job Description

Position Title:  MCT-GCF Program Assistant
Duty Station:  Micronesia Conservation Trust (MCT) Headquarters, Pohnpei, FSM
Reporting to: MCT-GCF Regional Program Manager

JOB SUMMARY

The Micronesia Conservation Trust (MCT) is a non-governmental, non-profit organization supporting biodiversity conservation and climate change adaptation and mitigation across the Micronesia region. Reporting to the MCT-GCF Regional Program Manager, the MCT-GCF Program Assistant will support the implementation and administration of the Green Climate Fund (GCF) program. The Assistant will provide day-to-day administrative, coordination, and logistical support to ensure the smooth operation of GCF-funded projects and activities.

KEY RESPONSIBILITIES

All responsibilities of the MCT-GCF Program Assistant will be undertaken under the direction of the MCT-GCF Regional Program Manager to support efficient program delivery and documentation.

Administrative and Coordination Support

  • Assist the MCT-GCF Regional Program Manager with day-to-day coordination of GCF-related activities and tasks.

  • Help prepare meeting agendas, minutes, presentations, and reports for GCF-related events or meetings.

  • Coordinate travel arrangements and logistics for project team members and stakeholders.

  • Monitor inventory and manage office supplies, ensuring availability of necessary materials.

  • Maintain a calendar of events and project timelines.

  • Maintain and organize project documentation, correspondence, reports, and filing systems (both physical and electronic)

 Project Support

  • Support project tracking, scheduling, and progress reporting under the guidance of the MCT-GCF Regional Program Manager.

  • Assist with partner coordination, including scheduling check-ins and following up on action items.

  • Monitor and organize deadlines and timelines for key deliverables.

  • Support procurement processes by preparing requests for quotations, purchase orders, payment requests, and following up with vendors and suppliers.

  • Assist in preparing outreach materials, presentations, and visibility products.

  • Support media coordination and event documentation (e.g., photos, reports).

Financial and Reporting Support

  • Assist in gathering supporting documentation for financial reports and expense tracking.

  • Ensure proper filing of all supporting documents for GCF expenditures in line with audit requirements.

  • Assist in the preparation and formatting of technical and financial reports, presentations, and minutes.

  • Support financial tracking, including invoice processing, and submission of financial documentation to the Finance Unit.

  • Ensure compliance with organizational and GCF administrative, financial policies and procedures.

  • Track deadlines, deliverables, and assist with project monitoring and reporting.

  • Provide support during donor and partner missions, evaluations, and audits.

Communications and Outreach

  • Assist with drafting and editing project communications, including emails, reports, and outreach materials.

  • Assist in maintaining communication with partners, stakeholders, and beneficiaries.

  • Maintain contact lists of project stakeholders and support communications

Other Duties

  • Undertake other administrative tasks or responsibilities as assigned by the MCT-GCF Regional Program Manager.

QUALIFICATIONS AND EXPERIENCE

Education

  • A bachelor’s degree in Business Administration, Public Administration, Environmental Science, Development Studies, or a related field; alternatively, completion of a two-year college program combined with at least four years of relevant work experience.

 Experience

  • Minimum of 2 years of relevant administrative or project support experience, preferably with donor-funded or climate-related projects.

Skills and Competencies

  • Effective time management and prioritization skills

  • Attention to detail and proactive attitude.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint).

  • Excellent written and verbal communication skills.

  • Ability to work independently and as part of a team.

  • Knowledge of climate change or conservation work is an asset.

  • Familiarity with the Micronesia region and languages is a plus.

EMPLOYMENT DETAILS

Type of Contract: Full-time, project-based (with potential for extension depending on funding)
Salary and Benefits: $20,000 per annum, negotiable based on qualifications and experience.
