BPM Program Coordinator

BACKGROUND:

Blue Prosperity Micronesia (BPM) is a partnership between the Government of the Federated States of Micronesia (FSM) and its four states, the Waitt Institute and the Micronesia Conservation Trust to advance sustainable ocean use in the FSM. The program is FSM Government-led and builds on FSM commitments towards the United Nations Sustainable Development Goals (SDG’s) and the Micronesia Challenge (MC) to protect 30% of FSM waters, strengthen fisheries management and support the development of blue economies.

SUMMARY OF RESPONSIBILITIES

The primary responsibility of the BPM Program Coordinator is to successfully implement the Blue Prosperity Micronesia program, along with the BPM Program Management Unit (PMU) and program partners. The Program Coordinator will play a critical role in liaising with government officials and key partners to ensure information flow and sound cooperation and coordination in advancing BPM targets.

They will report to the Assistant Secretary for the Marine Division at the Department of Resources & Development and work closely with the BPM Technical Coordinator and BPM partners, including The Waitt Institute and Micronesia Conservation Trust through a contract with MCT. The position will be based in Pohnpei, at FSM Department of Resources & Development. The position will require significant time in each of the four states with the BPM/PAN Coordinators and BPM State Focals, and possibly international travel.

What We Can Achieve Together:

MCT functions as an integrated team, providing support based on mutual respect and Micronesian values that extend beyond the organization itself.  The Admin and HR Assistant will provide essential support and service to the Program and MCT’s partners, ensuring courteous, efficient, timely and professional service to all stakeholders and clients.   Under the supervision of the Administrative and HR Program Manager, the Administrative Assistant is a fulltime employee responsible for assisting the Administrative and HR Program Manager with the day-to-day management of MCT’s office systems, administrative processes, equipment, equipment maintenance, inventory and others. Specific responsibilities will include but not be limited to the following:

● Responsibility for answering telephones, screening calls and routing callers to appropriate parties, greeting and assisting visitors.

● Maintaining correspondence logs and other administration and human resources (non-confidential) related files.

● Develop and Maintain Admin and HR schedule (annual report due date, policy acknowledgements, holidays, evaluation schedule, subscriptions and routine payment due dates, etc.

● Keeping billing and payment records (i.e. telecom, PUC, rent, insurance etc. and other routine billing/expenses and ensure timely payment.

● Assisting in designing and maintaining appropriate filing systems.

● Responsibility for logging and tagging office furniture and equipment, and track usefulness of office equipment and advise on timing and method of disposal of equipment and furniture as needed.

● Developing and implementing a maintenance schedule for MCT vehicle and other office equipment as well as assume responsibility for periodic repairs as required.

● Assisting with logistical support for meetings, workshops and other MCT activities on Pohnpei and other venues and with travel arrangements such as booking flights, cars, and making hotels and restaurant reservations, etc.

● Logging Payment requests/TA’s/Payment Requisitions and Purchase orders.

● Responsibility for office errands by distributing correspondence memos, letters to offices, and delivering documents for signature, receiving, sorting and distributing correspondences.

● Preparation of Administration and Human Resources Program related payment requests.
